What is IDrive Vault (Private Cloud)? Why should I use IDrive Vault (Private Cloud)?

IDrive Vault (Private Cloud) is an on-premises business solution with the flexibility to access data from anywhere. Data storage and encryption is completely on-premises. This deployment supports most data security and compliance requirements. It allows you to deploy a solution that meets regulatory requirements such as International Traffic in Arms Regulations (ITAR), U.S. Export Controls and HIPAA, among others.

How do I get started with IDrive Vault (Private Cloud)?

There are a few steps you need to follow to get started with IDrive Vault (Private Cloud).

  1. Create admin account
  2. Provide network configuration and shipping details
  3. Unbox the kit and setup Private Cloud server on your premises
  4. Create Backup User Account

How do I setup IDrive Vault (Private Cloud) account?

Following information is required to be provided for setting up your IDrive Vault (Private Cloud) account:


  • Public network IP e.g. 205.234.23.54
  • Two Local IP addresses(e.g. 192.168.1.9) on the same Public network
  • Public Gateway IP (e.g. 205.234.23.53)
  • Preferred DNS Server (e.g. 8.8.8.8)
  • Shipping address

Once you are done with the payment and setup, a Private Cloud purchase ticket will be created. IDrive team will configure the device and ship it to you.

How to setup Private Cloud server on my premises?

Follow a few steps to setup Private Cloud server on your premises:

Step 1: Upon receiving the shipment, unbox and inspect the Private Cloud server and other hardware for any physical damage that may have occurred during shipping. Each Private Cloud shipment contains the following:

Step 3: Connect the Private Cloud server’s primary NIC(Marked ETH0) to your public modem directly to get the Public IP using Ethernet cables. Connect secondary NIC(Marked ETH1) to local router on the same network.
Note: Public and local network should be same for which IPs were provided at the time of Admin creation.

Step 4: Plug the power cords into power supply and to power source. If it is a 2-4u chassis server, to provide redundancy, plug both power supplies into separate power sources. The system can operate with only one power connection, but there is no redundancy in this case.

Step 5: Prepare the following firewall rules on your network before the Private Cloud installation.

Step 6: Turn on the power to the enclosure with the front panel power button. The Private Cloud server is ready to use.

How can I create Backup user accounts?

You can create users accounts and manage backups at one place. There are two different ways to add users to your admin account using Dashboard. To add multiple users at once, you can either enter information manually for each user or upload a text file with the list of users.

How do I start backing up files to a Backup user account?

To backup files to Backup user account:

  1. Log in to IDrive with your User account credentials and click the 'Dashboard' tab.
  2. Click the particular user name, to view the IDrive application interface on the web and click the particular computer.
  3. Click ‘Change’ and select the files and folders to backup.
  4. Click the 'Start Backup Immediately' button to start the backup.

Note: Admin account cannot be used to login to client software and Backup user account.

As a Backup user account, how do I access my account via web?

Access and manage Backup user accounts from www.idrive.com. You can also backup/restore data and view details like last backed up time and the status of each backup.

As an Admin, can I assign encryption key type to user accounts?

Yes, you as an admin can assign encryption key type to user accounts. When adding users, there is an option to 'Secure this user with Default Encryption/Private Key Encryption'. Admin can select either of the two options, to assign an encryption key type to the user account.

If the encryption key type is not assigned by the admin, the user would be prompted to choose Default Encryption/Private Key Encryption the next time he logs in to his account.

What is legal hold? Can Admin block or put a legal hold on a user account?

Legal hold is a process which allows the admin to block a user account. The user will not be able to access his account, but Admin can actively access his account and download data.

To block/legal hold a user account,

  1. Log in to admin account.
  2. From the 'Dashboard', select the users you want to block.
  3. Click . The 'Block Selected Users' screen appears.
  4. Click 'Yes'.

To unblock a user account,

  1. Log in to IDrive and click the 'Dashboard' tab.
  2. From the 'Dashboard', select the users you want to unblock.
  3. Click . The 'Unblock Selected Users' screen appears.
  4. Click 'Yes'.

As an Admin, can I view and download the files from user accounts?

Yes, Admin can view and download the files from user accounts to his local computer.

To download,

  1. Log in to IDrive as an admin, and click the 'Dashboard' tab.
  2. Click the 'Computers' tab and select the computer of a particular 'User'.
  3. Click the 'Restore' tab.
  4. Select the files you wish to download.
  5. Click the 'Download to this computer' tab.
  6. Click 'Download to this computer' to download the selected files to your local computer.

Note:
- If the user account is 'Private Key Encryption' enabled account, then a prompt would appear to verify the private encryption key to download the files.
- Maximum size limit for folder download is 650MB or 600 files.

Can Admin generate reports for each user account?

Yes, Admin can easily generate, view and download reports for each user account.

  1. Device Status Report – Reports generated based on each user/device information
  2. User Backup Report – Reports generated based on each user information
  3. Backup Activity Report – Reports generated based on each backup information

To generate reports,

  1. Log in to IDrive as an admin, and click the 'Dashboard' tab.
  2. Click the 'Reports' tab.
  3. By default 'Device Status Report' is selected. To generate 'User Backup Report' or 'Backup Activity Report' select the same from the dropdown menu.
  4. Fill details in the fields to filter your search.
  5. Click 'Generate Report'.

Note: You can also save the report in CSV, TEXT, PDF formats. To save, click 'Save Report As' and select the file format.

Can I assign admin control to users?

Yes, you can assign admin control to the users. Admin can add or invite users, edit, block, and delete users from your account. In addition, make the other users as admin from the Dashboard.

To make the user as an admin,

  1. Log in to IDrive and click the 'Dashboard' tab.
  2. From the 'Dashboard', select the users for whom you want to grant the admin rights.
  3. Click  . The 'Grant Admin Rights' screen appears.
  4. Click 'Yes'.

Once an admin assigns another user as admin, that user will have all the rights to administer the account.

Can I increase the storage space of my Private Cloud account to meet the growing demand?

Yes, your Private Cloud account comes with on-demand scalability. You can increase the storage space of your Private Cloud account based on your needs and demands. It is cost-effective and allows you to manage your entire backup and restore process in a much easier way.
